Custom user journeys, renewals and payments for EAWOP

One connected Drupal 11 platform for applications, approvals, renewals, event participation, abstract submissions and payments.

Problem

EAWOP’s website needed to do far more than publish information. It had to support a large European professional community across four membership types, while handling applications, approvals, renewals, event participation, abstract submissions, payments and access to external journal services. The challenge was to turn these connected but distinct processes into a clear member journey and give administrators one dependable place to manage them.

How we addressed it

Custom user journeys

We designed and built a Drupal 11 platform around the complete membership lifecycle. A new application creates a structured member profile and membership ID, while the account remains inactive until it has been reviewed and approved. Once approved, profile information can populate later forms automatically, reducing repeated data entry across renewals, events and congress submissions.

The system also supports administrative approval workflows, role-specific permissions, bulk processing of submissions and downloadable membership and event certificates.

Payments and renewals

We created custom Stripe payment journeys connected directly to EAWOP’s membership data. A member’s type determines the appropriate renewal option, while a completed payment is validated, recorded against the submission and used to update the member’s expiry date automatically.

The same payment architecture supports congress and event registrations. A separate renewal-reminder workflow identifies memberships approaching expiry, helping the EAWOP team manage renewals without manually comparing payment records, profiles and spreadsheets.

One connected system

Drupal orchestrates member profiles, historical membership data, applications, payments, renewals, events, abstracts, certificates and administrative exports. Custom import tools consolidate legacy membership records into the same data model, while integrations provide member journeys into Taylor & Francis and SAGE journal services.

This gives administrators a transparent view of each journey – from initial application through approval, payment and renewal – without transferring data manually between disconnected systems.

Outcome

Members can apply, pay, renew, register for events, submit abstracts and retrieve certificates through one account. Administrators can review applications, approve submissions in bulk, track membership status, export structured member data and see payments alongside the records they belong to.

Because these journeys share the same member and submission model, new registration forms, events and payment flows can be added without rebuilding the wider membership system.
