Job Description

Piquant is seeking a proactive and organized Office Manager to oversee the smooth functioning of our office operations. As the central point of contact for all administrative matters, you will play a pivotal role in maintaining a productive and efficient workplace environment. From managing office supplies and facilities to bookkeeping and HR admin, you’ll be instrumental in supporting the day-to-day operations of our creative agency. Key Responsibilities:

  • Maintain office efficiency by organizing and implementing office systems, procedures, and policies.
  • Manage day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondence.
  • Oversee office supplies inventory, ordering, and maintenance of office equipment.
  • Coordinate office layout and ensure the office is organized, tidy, and conducive to productivity.
  • Assist with human resources functions, including employee onboarding, offboarding, and maintaining personnel records.
  • Coordinate employee benefits enrollment and facilitate communication between employees and benefit providers.
  • Support recruitment efforts by posting job openings, scheduling interviews, and assisting with candidate screening.
  • Manage office health and safety protocols, ensuring compliance with relevant regulations and guidelines.
  • Plan and coordinate office events, meetings, and conferences, including venue selection, catering arrangements, and logistics.
  • Assist with the preparation of presentation materials and meeting agendas, ensuring smooth facilitation of events.
  • Provide general administrative support to staff and management as needed, including scheduling appointments, making travel arrangements, and preparing reports.


  • Previous Office Management Experience: Minimum of 5 years of experience in office management or a related administrative role, with demonstrated proficiency in managing office operations and administrative tasks.
  • Strong Bookkeeping Skills: Experience with basic bookkeeping tasks such as recording expenses, managing accounts payable and receivable, and reconciling bank statements.
  • HR Administration Experience: Familiarity with HR administration tasks, including employee onboarding, benefits administration, and maintaining personnel records.
  • Excellent Organizational Skills: Exceptional organizational abilities with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Attention to Detail: Meticulous attention to detail and accuracy, particularly in tasks such as invoicing, payroll processing, and maintaining records.
  • Effective Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with employees, clients, and external vendors.
